If you are invited to a meeting

Sometimes we who handle land surveying procedures need to discuss something with your property owner. That means you as the property owner and others affected by the matter. Then we invite to a meeting, or what we usually call a meeting.

It is important that you come

If you are invited, it is important that you come, both to get information, protect your interests and make your voice heard. For us, it contributes to a better basis for our decisions. Minutes are kept of the meetings so that what was said is clearly stated. It makes it possible for you to receive information if for some reason you cannot attend.

If all stakeholders are in agreement right from the start and have signed an agreement on what is to be done, there is usually no need for a meeting.

Different ways to participate in the meeting

The meetings can take different forms and you can participate in different ways. Digitally, by phone, through an agent or physically. It is always the circumstances of a land surveyor that are decisive for the form in which it is held.

Even if you can participate digitally, there is always a physical location indicated, from which the surveyor leads the meeting. You can go there if you wish to participate physically. If you have questions or concerns about your meeting, you can contact your manager.

Lantmäteriet uses Skype for Business as a technical solution for digital meetings. You can choose to connect to the meeting in different ways depending on whether you want to use a computer, tablet, telephone or a video conference system. Choose the option that best suits you.

Through a computer (PC or Mac)

To join the meeting via a computer, follow these steps:

  1. Copy the web link sent with the meeting invitation and type it into the browser.
  2. Follow the instructions on the page that opens. The Skype for Business plug-in is now downloaded to your computer (sometimes the plug-in is under downloaded files. Click the icon and follow the instructions).
  3. Select "Connect as Guest" and type enter your name. Connect using the Skype for Business client, if you have it installed on your computer. Please note that there is a difference between Skype and Skype for Business and they cannot be used together.

Via iPhone or iPad

Follow these steps to join the meeting via an iPhone or iPad:

  1. Download the Skype for Business app via the App Store.
  2. Go to the browser and enter the web link sent with the invitation.
  3. Click on "Connect as guest" and enter your name. So you connect via the browser, not in the app. It is a prerequisite that the app is downloaded for it to work.

Via an Android phone or tablet

Follow these steps if you want to join the meeting via your Android phone or tablet:

  1. Download the Skype for Business app via Google Play.
  2. Contact the case manager, well in advance of the meeting, and ask for a clickable link to the meeting.
  3. Click on the link that will be sent to you.

By phone call

Call the number and enter the conference ID (eight digits) which is in the invitation. If you select this option, you will not be able to see documents that are displayed. Contact the case manager and you can have the material sent to you in advance.

Via a video conferencing system

If you want to join the meeting via a video conferencing system, enter 918900@teliavideomote.com into the system , and the conference ID that is in the invitation under "If you want to call in to the meeting". End with #.

Important meeting technical information

There are a few things to consider before joining the meeting:

  • Make sure the computer, tablet or phone you want to use during the meeting has a microphone and can play audio.
  • Find out how to turn your microphone on and off.
  • Make sure you have a stable connection to the Internet. Feel free to connect the computer, with a network cable, directly to the modem or router, or sit close to the router to get the most stable connection possible.
  • Close programs on your computer or tablet and windows in your browser that you don't currently using. They can interfere with your connection during the meeting.
  • Make sure you connect with an up-to-date browser if you choose that option.
  • Please use the latest version of either Microsoft Edge, Google Chrome or Safari .
  • Make sure you enter the meeting and that the sound and microphone are working well before the meeting starts.
  • Please sit in a place with as little background noise as possible and please use headphones with microphone.
  • If you arrive early for the meeting, you may sometimes end up in a lobby/waiting room and will be admitted when the meeting starts.

If you want to be anonymous during the meeting

If you have protected identity, or for some other reason do not want to say who you are during the meeting, you must connect using the web link sent with the invitation. Then you can enter the name that you want to appear during the meeting, for example "representative for property x:y".

If you instead choose to connect to the meeting with your phone, you need to call from a hidden number because your number will appear on the screen during the meeting.
